Configure how members can join your workspace

Workspace Discovery allows you to control how members of your organization join your workspace, granting you full control.

Updated over a week ago

You can configure:

  • Email domains – Define which domains are allowed to join your workspace.

  • Discoverability – Choose whether users with those domains can find and join the workspace on their own.

  • Admin approval – Optionally require admins to approve join requests. (Not applicable if your workspace uses SSO.)

1. Set Allowed Email Domains

To enable workspace discovery, start by specifying the email domains your organization uses.

  1. First, go to your Workspace Settings: https://www.mentimeter.com/app/workspace-settings

  2. Navigate to the Permissions tab.

  3. Under Manage email domains, add the domains you want to allow (e.g. @mentimeter.com, @menti.com).

These domains define who can find and join your workspace, depending on the discovery settings you choose.

2. Configure Workspace Discovery

Once your email domains are defined, scroll to the Workspace discovery section in the Permissions tab.

There are two options you can toggle:

  • Discoverable to workspace email domains

    • Allows users with allowed domains to find your workspace either during sign-up or from within the app.

  • Requires admin approval

    • Requires an admin to approve each join request. (This setting is unavailable if your workspace uses SSO.)

Here’s how each combination of settings works:

A) Discovery on + admin approval

Users with approved email domains can find your workspace and request to join. Admins & owners of the workspace will receive email notifications and must approve each request. For further details on the Requests, please check out this article.

This setting provides discoverability while maintaining control over who joins.

B) Discovery on + no admin approval

Users with approved email domains can discover and join the workspace instantly, without an invite or approval.

This option is best suited for quick onboarding within trusted teams or organizations.

C) Discovery turned off

No one can find your workspace on their own. New members must be invited manually by an admin or the owner of the workspace, read more in How to invite, remove and manage workspace members.

Additional Notes

  • Email verification: Before joining any workspace, all users must verify their email address.

  • SSO workspaces: The admin approval setting is not applicable when SSO is enforced.
